Full Job Description

Assistant Sales & Event Coordinator Primary responsibility is promoting, booking, and coordinating requirements for banquet events. This position is responsible for developing strategies and executing promotional activity aimed at both generating and retaining business in order to meet or exceed our financial goals.

This position reports directly to the General Manager & Director of Sales/Event Coordinator.

Job Outline

  • Owning and hitting/exceeding annual sales targets for Weddings/Non-Wedding Events.
  • Developing and executing strategic plan to achieve sales targets and expand our customer base.
  • Increasing Captain’s Club visibility and market share in our direct market, as well as expanding our target market base.
  • Building and maintaining strong, long-lasting customer relationships.
  • Partner with customers to understand their business needs and objectives.
  • Effectively communicate the value proposition through proposals and presentations.
  • Understand category-specific landscapes and trends.
  • Reporting on forces that shift tactical budgets and strategic direction of sales incentives.

Assistant Sales & Event Coordinator should meet our customer acquisition and revenue growth objectives.

Responsibilities include developing key growth sales strategies, tactics and action plans. Successful execution of these strategies is required to achieve your financial targets. Assistant Sales & Event Coordinator duties will include hitting annual targets, building relationships and understanding customer trends.

Key Responsibilities and Accountabilities:

  • Performs marketing, networking, and public relations efforts to promote the facility and the services we provide to secure event bookings.
  • Provides timely response to all customer inquiries.
  • Conducts customer tours of the facility.
  • Assures that each customer understands contractual commitments.
  • Secures signed contracts and appropriate deposit for each event that is booked
  • Formulates, coordinates, and executes effective marketing plans to meet sales targets.
  • Participates in budget preparation, formulation of pricing policies, and refinement of contract documents.
  • Conducts oneself as a representative of Woodfield by visibly supporting and implementing policy and demonstrating high standards of ethics, and integrity with Guests, peers, and employees.
  • Represents the organization at various community and / or business meetings; promotes existing and new programs.
  • Provides support for promotional events and onsite presence at ‘high profile’ events. Makes use of guest contacts as a means of gathering feedback and generating new business.
  • Prepares billing and secures payment for events.
  • Responsible for developing annual Sale Strategy to include retention and growth plan of actions
  • Gathers data on marketing trends, competitive offerings and pricing.

Performance Standards:

  • Maintains high standards of integrity, professional conduct and appearance that reflects favorably on our business and earns the trust and respect of our clients.
  • Demonstrates confidence, commitment, and enthusiasm encouraging prospects to want to do business with us.
  • Encourages prospects to visit our facility.
  • Obtains signed contract and deposit for each event. Any deviations require manager approval.
  • Completes menu and event planning at least 3 weeks prior to event.
  • Obtains guaranteed count 2 weeks prior to event.
  • Obtains customer approval (sign-off) on floor plan and final function sheet 1 week prior to event.
  • Collects advanced payment 2 weeks prior to event.
  • Schedules staffing 2 weeks prior to event.
  • Obtains feedback from prospects to assess the effectiveness of our advertising.
  • Adheres to company policies including restricted use of our facilities for personal business.
  • Provide prompt response to customer inquires – typically the same day or at least within 24 hours.
  • Assures that Event Calendars reflect current and accurate information and that tentative booking are followed up on a weekly basis.
  • Provide a status report of marketing initiatives on the 1st & the 15th of each month with targets and accomplishments
  • Maintains accurate financial records.
  • Adheres to marketing budgets and secures prior approval for any expenditure.
  • Assures that all promotional material is accurate, professional, and creates a positive image of our facility and our service offerings
