Advancement Administrator

Position Overview
1.    The Advancement Administrator (AA) is responsible for supporting the Mission Advancement Director in achieving the school’s operating and capital fundraising, enrollment, and marketing targets. In addition, the AA is responsible for engaging school constituents in advancement initiatives.

2.    The AA fulfills his or her responsibility by successfully:

a.    Providing full administrative support including appointments, communications, correspondence, data entry, and reports

b.    Communicating with a large pool of committed donors

c.    Coordinating and providing support for the annual fundraising events such as the Annual Fund Drive, Gala Auction, and Golf Outing.

d.    Managing advancement events such as Grandparents Day, Alumni Gatherings, and School Ambassador Program.

e.    Providing support and writing foundation grants

f.     Actively contribute to achieving greater effectiveness in administration and best practices

3.    The AA will be responsible for tracking alumni and assist in their cultivation.

4.    The AA carries out his or her responsibilities with the awareness that they are an apostle of Christ. His or her life, witness of faith, and professional dedication serves as an example of the importance by which he or she views the mission entrusted to them.

Qualifications
5. The AA should meet the following qualifications:

a.     Bachelor’s degree in project management, marketing or related area of discipline

b.     Minimum of 3 years of administrative experience in the non-profit or academic setting

c.     Detail oriented and exceptional organizational talents

d.     Superior communication skills (written and oral)

e.     Proficient in MS Office product suite, managing databases and spreadsheets (Blackbaud’s Raiser’s Edge experience a plus)

f.      Ability to quickly learn new software packages

g.     Solid proof-reading skills

h.     Demonstrated capacity for teamwork

i.      Excellent people skills

j.      Professional attire, mannerism and etiquette

k.     Complete respect for the Roman Catholic Church

l.      Broad knowledge of the Legionary method of education

m.   Practicing Catholic with an excellent moral reputation a plus

n.     Great love and support for the mission of the school characterized by charity, discretion and prudence

Reporting Structure
6.    The AA reports to the Advancement Director of the school.

Specific Responsibilities
7.    The specific responsibilities of the AA include, but are not limited to, the following:

a.     Full administrative support including appointments, communications, correspondence, data entry, and reports

b.     Administer the fundraising database, including maintaining a current contact database (prospects, donors, volunteers, alumni, etc.) and accurately tracking contributions.

c.     Draft and distribute donor thank-you letters, reminders, and receipts.

d.     Prepare regular development reports, track progress, results and statistics.

e.     Coordinate all fundraising initiatives

f.      Recruit, train and manage advancement volunteers (annual fund drive, gala, grandparents’ day, etc.)

g.     Actively contribute to achieving greater effectiveness in administration and best practices

h.     Setup travel arrangements.

i.      Setup accommodation and entertainment arrangements for company visitors.

j.      Be familiar with calendars of key administrative personnel.

k.     Prepare and maintain expense reports.

l.      Setup and coordinate meetings and conferences.

m.   Create, transcribe, and distribute meeting agendas and minutes.

n.     Maintain hard copy and electronic filing system.

o.     Other duties as assigned by the Advancement Director.
